This Privacy Policy explains how IPRO MEDIA, INC. ("IPRO," "we," "us," or "our") collects, uses, discloses, and protects personal information in connection with www.teamipro.com (the "Site") and the services we provide. It supersedes all prior versions.
Who We Are and What This Covers
IPRO is a managed service provider and communications company headquartered in Van Alstyne, Texas. We provide managed IT services, unified communications (UCaaS), carrier and telecommunications services, network security, and cloud infrastructure to business customers.
This Policy covers the Site and our direct dealings with you — as a prospect, a customer contact, a website visitor, or someone who contacts us.
It does not cover data we handle on behalf of our customers. When we manage a customer's phone system, network, or cloud environment, that customer decides what data is collected and why; we process it under our agreement with them and on their instructions. If your information is in a system we manage for your employer or service provider, direct your privacy requests to that organization, not to us. If you send such a request to us, we will acknowledge it and forward it to the customer where we can identify them.
Information We Collect
You give us: name, business title, employer, email address, mailing address, and phone number; the contents of forms, emails, calls, and support tickets; billing and payment details; and account credentials or authorized-contact designations.
We collect automatically on the Site: IP address, browser and device type, pages viewed, referring page, and dates and times of access. Our Site is built on Wix, which sets functional and analytics cookies necessary to operate the Site and measure traffic. We do not run advertising pixels or cross-site tracking technologies. You can block or delete cookies in your browser; parts of the Site may not work correctly if you do.
We collect in delivering services: service and provisioning records such as extensions, telephone numbers, call routing, and registered service addresses; network and device telemetry from systems we manage; call detail records and message detail records; the contents of text messages you exchange with us and related metadata such as timestamps and delivery status; and — where a customer enables it — call recordings and voicemail.
Sensitive information. Two categories warrant specific mention. We hold the registered service address and dispatchable location associated with a telephone number so that a 911 call reaches the correct emergency dispatcher; this is transmitted to emergency authorities when a 911 call is placed and is used for no other purpose. We also hold account credentials for systems we manage. We use sensitive personal information only to provide the services requested, secure our systems, and meet legal obligations — never to infer characteristics about you, and never for advertising.
We do not seek and ask you not to send us Social Security numbers, payment card numbers, health information, or government ID numbers except where we have specifically requested them for a defined purpose.
How We Use Information
We use personal information to provide, support, maintain, and improve our services; to provision, configure, and troubleshoot; to communicate about accounts, outages, maintenance, security, and support; to bill and collect; to respond to inquiries and follow up on sales requests; to secure our systems and investigate incidents; and to comply with law and enforce our agreements.
Communications, Calls, and Text Messages
Calls and recording. We record inbound calls to our contact center for quality assurance, training, verification, and record-keeping. We do not record outbound calls placed by our staff, and we do not record calls on lines outside the contact center. Where a customer enables recording in a platform we deliver, that customer controls those recordings and is responsible for the notices and consents its own jurisdiction requires.
Service and test calls. During customer transitions, migrations, upgrades, and maintenance windows, we place automated validation calls to telephone numbers we provision and manage for that customer, to confirm service is working and that our work did not cause an outage. These calls identify IPRO, state their purpose, and provide a callback number. They are operational tests only — never sales or marketing calls.
Email. You can unsubscribe from marketing email using the link in any message or by writing to us. We will still send transactional and service messages — invoices, outage and maintenance notices, security advisories, and support correspondence — while your service relationship continues.
Text messaging (SMS and MMS). We send text messages only to individuals who have given prior express consent. Consent may be given by submitting a phone number through a form on our Site that clearly discloses the messaging program, by texting a keyword to our number, or by providing a number to a representative and agreeing to be texted. You also consent to receive a reply when you initiate contact with us by text — if you send an SMS or MMS message to one of our numbers, including an unsolicited one, we treat that as your consent to respond to you at that number about the subject of your message. Consent given this way extends only to responding to your inquiry and to the service conversation that follows; we do not send marketing or promotional messages on that basis, and we obtain separate express written consent before doing so. Consent to receive text messages is never a condition of purchasing any good or service. Message and data rates may apply, and message frequency varies. You may opt out at any time by replying STOP to any message, and we will send a single confirmation; reply HELP for assistance, or contact us at the phone number or email below. We honor opt-out requests promptly. We maintain records of consent, and messages are limited to the purpose disclosed at the time of opt-in.
We do not sell, rent, or share mobile telephone numbers or SMS consent with third parties or affiliates for their own marketing or promotional purposes. We share them only with the messaging providers, aggregators, and carriers strictly necessary to deliver a message, and only for that purpose. No mobile information is shared with third parties for marketing.
Customer Proprietary Network Information (CPNI)
Where we provide telecommunications services, federal law protects information about the quantity, technical configuration, type, destination, location, and amount of your use of those services. This is known as Customer Proprietary Network Information. We use, disclose, and permit access to CPNI only as the FCC's rules allow, and we protect it in accordance with those rules.
How We Disclose Information
We disclose personal information to: service providers and vendors who perform work on our behalf — hosting, messaging and carrier partners, payment processing, ticketing, and professional advisors — under contracts limiting their use of it; carriers, aggregators, and emergency authorities as necessary to deliver communications services and route 911 calls; our customers, where you are a contact or end user of a customer organization; in a corporate transaction such as a merger, acquisition, or sale of assets; and where required by law, including subpoenas, court orders, lawful requests from public authorities, and to establish or defend legal claims or protect the rights and safety of any person.
We do not sell personal information, and we do not share it for cross-context behavioral advertising. We have not sold or shared personal information in the preceding twelve months, including that of anyone under 16.
Data Retention
We keep personal information for as long as it serves the purposes described in this Policy and for as long as law, accounting and tax requirements, and the need to establish, exercise, or defend legal claims require.
In practice, we retain business account records, contracts and orders, billing and payment history, and support and ticketing history for the duration of the service relationship and indefinitely thereafter. We do not routinely purge these records when a relationship ends. We keep them because tax, accounting, and telecommunications regulations impose multi-year retention obligations; because the technical and service history of an account remains necessary to support equipment, numbers, and configurations that often outlive the contract; and because these records are what we rely on to resolve billing questions, respond to regulatory inquiries, and defend legal claims that can arise years later.
Some categories carry retention set by law rather than by us — we keep CPNI disclosure records for one year as the FCC requires, and financial records for at least the periods tax law requires. Data in systems we manage for a customer is retained as that customer configures and as the applicable agreement provides; after termination we have no obligation to retain it beyond the period stated there. Information in backups is deleted on our normal backup rotation cycle, which may extend past deletion of the live record.
This does not limit your right to ask us to delete your information, and we honor deletion requests. Where a specific record must be kept because tax, accounting, telecommunications, or other law requires it, or because it is needed to defend an active legal claim, we will tell you which records those are and why, delete everything not covered, and stop using what remains for any purpose other than the one requiring us to keep it.
Security
We maintain administrative, technical, and physical safeguards designed to protect personal information against unauthorized access, use, alteration, and disclosure. No system is perfectly secure, and we cannot guarantee absolute security. Please tell us immediately at the contact below if you believe an account has been compromised. If a security incident affecting personal information occurs, we will provide notice as applicable law requires.
Your Privacy Rights
Depending on where you live, you may have the right to: know what personal information we have collected about you, the categories of sources, our purposes, and the categories of third parties to whom we disclose it; access a copy, in a portable form where required; correct inaccurate information; delete your information, subject to exceptions; opt out of sale, sharing, or targeted advertising — we do none of these; limit the use of sensitive personal information — we already use it only for permitted purposes; and be free from discrimination for exercising any of these rights. We will not deny you service, charge a different price, or provide a different quality of service because you exercised a privacy right.
How to submit a request. Email support@teamipro.com with "Privacy Request" in the subject line, or call (866) 687-9669. We will ask for information sufficient to verify your identity and, for a deletion or correction request, may require additional verification. An authorized agent may submit a request on your behalf with written permission, and we may ask you to confirm it directly.
How we respond. We confirm receipt within 10 business days and respond within 45 calendar days. Where a request is complex or we receive several from you, we may extend once by an additional 45 days and will tell you before we do. We do not charge a fee unless a request is manifestly unfounded or excessive, in which case we will explain the charge first.
Appeals. If we deny your request, we will explain why and how to appeal. To appeal, reply to our response or write to support@teamipro.com with "Privacy Appeal" in the subject line. We will respond in writing within 45 days (or 60 days where a state requires). If we deny the appeal, we will give you a method to contact your state Attorney General.
California residents. The categories of personal information described above correspond to identifiers, customer records, commercial information, internet activity, geolocation data, audio and electronic information, and professional or employment-related information under the CCPA. We do not sell or share personal information, and we do not offer financial incentives in exchange for personal information.
Texas residents. We do not sell personal data, sensitive personal data, or biometric personal data. You may exercise the rights above under the Texas Data Privacy and Security Act.
Health Information
Where we provide services to a healthcare customer and handle protected health information, we do so as a business associate under a business associate agreement and on that customer's instructions. If you are a patient seeking to exercise HIPAA rights, contact your healthcare provider or plan — not IPRO. We will refer you to them.
Children
Our Site and services are designed for businesses and are not directed to children under 13. We do not knowingly collect personal information from children. If you believe a child has provided us personal information, contact us and we will delete it.
Third-Party Sites and Services
Our Site links to and our services are delivered in part through third-party platforms and providers. This Policy does not apply to them; their own privacy notices govern. Review them before providing information.
Changes to This Policy
We may update this Policy. We will post the revised version here and update the Effective Date above. If we make a material change, we will provide additional notice by email to affected customers and contacts, by a prominent notice on the Site, or both, before the change takes effect. We review this Policy at least annually. Prior versions are available on request.
